Introduction
Miller Orthodontics, PLLC (“Miller Orthodontics,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through our website at www.northtampabraces.com(the “Site”), how we use it, and who we share it with.
This policy covers the Site only. It does not describe how we handle your dental records or other protected health information once you are a patient of the practice. That is governed separately by HIPAA and by our Notice of Privacy Practices, described below.
HIPAA and Our Notice of Privacy Practices
Miller Orthodontics is a healthcare provider covered by the Health Insurance Portability and Accountability Act (HIPAA). Protected health information created or received in the course of your care, including your clinical records, imaging, treatment plan, and billing and insurance records, is governed by our Notice of Privacy Practices, not by this Privacy Policy.
Our Notice of Privacy Practices describes how we may use and disclose your health information for treatment, payment, and healthcare operations, the circumstances in which we may disclose it without your authorization, and your rights to access, amend, and request restrictions on that information. You can read it here. A paper copy is available at any of our offices, and we will provide one on request at (813) 427-2237 or info@northtampabraces.com.
Where the two documents overlap, the Notice of Privacy Practices controls for protected health information. Information you submit through this Site before you become a patient, such as an appointment request, is treated as described in this Privacy Policy.
Privacy Notice – SMS Communication Compliance
Data Collection and Use
Miller Orthodontics may collect personal information, including your name, email address, and phone number, when you provide it to us through our website, in-office forms, or other communication channels. If you provide your mobile number, you consent to receive SMS messages from us regarding appointment reminders, treatment updates, promotions, and other relevant notifications.
Consent and Opt-In for SMS Messaging
By providing your mobile number, you expressly consent to receive text messages from Miller Orthodontics. These messages may include appointment confirmations, follow-ups, practice updates, and promotional offers. Message frequency may vary. Standard message and data rates may apply.
You can opt in to receive SMS messages through:
- Completing an online or in-office registration form
- Checking an opt-in box on our website or patient portal
- Confirming via a double opt-in SMS verification message (if applicable)
How We Use Your Information
We use your phone number solely for the purpose of providing important updates related to your orthodontic care, appointment scheduling, and occasional promotional content. Your phone number will not be shared, sold, or rented to third parties for marketing purposes. However, we may share your number with trusted third-party service providers who assist in delivering SMS communications on our behalf. These providers are contractually required to protect your information and comply with all privacy regulations.
Opt-Out Policy
You can opt out of receiving SMS messages at any time by:
- Replying “STOP” to any text message you receive from us
- Contacting our office at 813-427-2237 or info@northtampabraces.com
- Updating your communication preferences in our patient portal (if applicable)
After opting out, you will no longer receive SMS messages from Miller Orthodontics, except for responses confirming your opt-out request.
Data Security
We take the security of your personal information seriously. We implement administrative, technical, and physical security measures to protect your phone number and other data from unauthorized access, disclosure, or misuse. Our SMS communications are conducted through compliant platforms that adhere to industry standards for data protection.
Data Retention and Deletion
We retain your contact information for as long as necessary to provide services to you. If you wish to have your mobile number removed from our database, please contact us at info@northtampabraces.com or 813-427-2237. We will process deletion requests in accordance with applicable regulations.
Changes to This Policy
Miller Orthodontics reserves the right to modify this Privacy Notice at any time. Updates will be posted on our website, and we encourage you to review this policy periodically. If you have any questions about our SMS communication policy, please contact us at the numbers or address listed below.
Information We Collect
Information You Give Us
When you submit an appointment request or contact form on the Site, we collect your first and last name, phone number, your preferred language, and whether you have agreed to receive text messages. Some forms also collect an email address, the patient's date of birth, and a short description of what you are looking for. If you are requesting an appointment for a child, you are providing that information as their parent or legal guardian.
Information Collected Automatically
Like most websites, our servers and analytics tools automatically record technical details of your visit: IP address, browser type and version, device type, operating system, referring page, the pages you view, and the dates and times you view them.
Marketing Attribution
If you arrive from an advertisement, a search result, or a link we share, we record the campaign parameters attached to that link, along with the page you landed on and the site that referred you. This is stored in your browser's local storage and attached to your enquiry so we can tell which marketing brought you to us.
Cookies and Tracking Technologies
We use cookies and similar technologies, including browser local storage, to operate the Site, remember your language preference, measure how the Site is used, and connect an enquiry back to the marketing that produced it. These technologies assign your browser a random identifier that persists between visits.
This identifier is linked to the contact details you provide when you submit a form, which means information collected through these technologies can be associated with you personally.
The tools currently in use on the Site are:
- Vercel Web Analytics, which records page views and basic device and country information
- Attrifast, which records visits and form submissions for marketing attribution
- SmileSync, the practice management platform that powers our appointment request forms and links an enquiry to the visit it came from
- Google Tag Manager, used on our online booking page to record that a booking was completed
- Greyfinch, which provides the online booking scheduler embedded on that page
Most browsers accept cookies by default. You can remove or reject cookies and clear local storage in your browser settings, though parts of the Site may not work correctly if you do. If we add advertising or remarketing pixels in future, we will update this policy before doing so.
How We Use Your Information
We use information collected through the Site to:
- Respond to your appointment request or question
- Schedule, confirm, and remind you about appointments
- Verify your insurance benefits when you ask us to
- Send you the text messages you have consented to receive
- Operate, secure, and improve the Site
- Measure which marketing brings patients to the practice
- Meet our legal, regulatory, and recordkeeping obligations
How We Share Your Information
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. We share it only as follows:
Service Providers
We share information with the vendors that run the Site and the practice on our behalf, including our website host, our practice management and scheduling platforms, our customer relationship management system, our text messaging provider, and our analytics providers. These vendors may use your information only to provide services to us. Where a vendor handles protected health information, we require a business associate agreement as HIPAA requires.
Insurance and Payment
If you ask us to verify benefits or submit a claim, we share the information necessary to do so with your dental insurer or plan administrator.
Legal Requirements
We may disclose information where required by law, regulation, subpoena, or court order, or where necessary to protect the rights, property, or safety of our patients, our staff, or the public.
Business Transfers
If the practice is sold, merged, or reorganised, patient and enquiry records may transfer as part of that transaction, subject to the protections HIPAA requires.
How Long We Keep It
We keep enquiry information for as long as needed to respond to you and to maintain our business records. Dental records are retained for the period Florida law and our professional obligations require, which is longer than the retention that applies to website enquiries. You can ask us to delete information you submitted through the Site using the contact details below, and we will do so unless we are required to keep it.
Children's Privacy
We treat a substantial number of children and teenagers. The Site is not directed at children, and we do not knowingly allow a child under 13 to submit their own information through it. Information about a minor patient should be submitted by a parent or legal guardian. If you believe a child has submitted information to us directly, contact us and we will remove it.
Your Choices and Rights
- Stop text messages at any time by replying STOP, or by calling or emailing the practice
- Ask us to stop contacting you for marketing purposes
- Ask what information we hold about you, ask us to correct it, or ask us to delete it
- Reject or clear cookies and local storage in your browser settings
Your rights over your dental records, including the right to inspect, obtain a copy of, and request amendment of those records, are described in our Notice of Privacy Practices. To exercise any of these, use the contact details below.
Security
We use administrative, technical, and physical safeguards to protect the information we hold, and the Site is served over an encrypted connection. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send detailed clinical information, images, or insurance identifiers through a website form or unencrypted email.
Third-Party Sites and Embedded Content
The Site embeds and links to services run by other companies, including Google Maps for our office locations, our review widget, and our online booking scheduler. Those providers may set their own cookies and receive your IP address when the content loads. We do not control their practices, and this policy does not cover them. Please review the privacy policy of any third-party service you use.
Changes to This Policy
We may update this Privacy Policy. When we do, we will revise the “Last updated” date at the top of the page, and the updated policy takes effect when posted. We encourage you to review it periodically. Your continued use of the Site after a change means you accept the updated policy. This policy should be read alongside our Terms of Use.
